Privacy Policy

Last updated: 14 September 2026

This policy is a plain-language draft describing what Hazel Glen Care actually collects and how it's used. It has not been reviewed by an attorney — have one check it against the Protection of Personal Information Act (POPIA) before relying on it as your final, binding policy.

Who we are

Hazel Glen Care ("we", "us") is a nursing agency operating across Gauteng, South Africa, registered at Unit 13, Smithfield Complex, 70 Bass Street, Boksburg, Gauteng, 1459. We are the responsible party for personal information processed through our website and portals, as defined under POPIA.

What we collect

  • Enquiries and bookings: name, email, phone number and message when you submit our contact form or request care.
  • Client accounts: contact details and shift/booking history for families and facilities using the client portal.
  • Staff accounts: contact details, ID number, address, qualifications, and compliance documents (SANC registration, police clearance, references) needed to place carers responsibly.
  • Attendance verification: with a carer's explicit consent, we capture GPS location and a photo at shift clock-in and clock-out, used only to confirm a shift was worked as booked.
  • Job applications: name, contact details, CV and cover letter submitted through our careers page.

Why we collect it

To match carers to shifts, verify compliance and eligibility to work, confirm attendance, respond to enquiries, generate invoices, and communicate about bookings. We don't sell personal information, and we don't use it for advertising.

Who can see it

Information is only visible to the people who need it to deliver care safely: our admin team, and — where relevant to a specific booking — the client and carer involved in that shift. We don't share personal information with third parties except our hosting provider (which stores data on our behalf) and where required by law.

How long we keep it

We retain records for as long as your account is active, plus a reasonable period afterward to meet our legal, financial and compliance obligations (e.g. SANC and employment record-keeping requirements). You can ask us to delete your information sooner, subject to those obligations.

Your rights under POPIA

You can ask us to confirm what personal information we hold about you, correct it, or delete it, and you can object to specific uses of it. To exercise any of these rights, email info@hazelglencare.com.

Security

Passwords are stored using industry-standard hashing, not in plain text. Access to staff and client data is restricted by role, so people only see what's relevant to them. No system is perfectly secure, but we take reasonable technical steps to protect the information you share with us.
